Project & AI Assistant Real Estate (all genders)

The Hasso Plattner Foundation

Established by SAP co-founder Hasso Plattner, the Hasso Plattner Foundation builds and runs its own long-term philanthropic initiatives. It founds and funds institutions, shaping them over decades, such as the Hasso Plattner Institute for Digital Engineering, Museum Barberini, and Sabine Plattner African Charities. An in-house Investment Office manages the endowment that makes it all possible.

In addition to the typical project assistant tasks in the field of real estate project development, we are looking for someone who can both deliver excellent operational work and turn day-to-day tasks into technical automation and AI solutions. You will take holistic ownership of the processes first, learn where human judgment matters, and progressively automate repeatable tasks and augment judgment-based work with AI. The goal is to leave reliable processes in which automation handles the routine and AI supports the people who make the decisions, with clearly defined human oversight.

This role is based in Potsdam, Germany. We work predominantly in-office, by design. It's how we keep decisions fast and collaboration real.

The Role

You will work directly with the Real Estate Team to make their workflows more effective and to support them in every aspect of planning and construction. You will provide hands-on support with calendars, travel, approvals, signature routing, meetings with external partners, and the institutions we support. Working alongside our AI automation engineers and Operating Strategy team, you will turn what you learn into better, more scalable ways of working.

This is an opportunity to show how AI can reinvent operational excellence - contributing directly to our philanthropic mission.

Your Responsibilities

  • Run the work while you improve it
    • Manage the calendars of the Real Estate team
    • Anticipate priorities and protect time for preparation and decisions.
    • Act as first point of contact: coordinate meetings with internal and external stakeholders, prepare briefings, and track follow-ups to completion.
    • Organize business travel end to end, from booking to expense settlement.
    • Organize and track invoices, particularly paper invoices received, to support project management
    • Prepare internal and external documentation, presentations as well as meeting materials
    • Take meeting minutes as needed and track to-do items
    • Assist with external correspondence, e.g., with government agencies and regarding guarantees and permits
    • Maintain and update internal and external reports

  • Redesign the work with automation and AI
    • Map the operational processes supporting the team and identify opportunities to standardize them.
    • Design and build technical automation and AI solutions, from templates and scripts to AI-enabled workflows and agents.
    • Automate recurring tasks in scheduling, travel expense processing, and approvals, starting where the potential time savings are greatest.
    • Document and hand over solutions that others can maintain and improve, meeting appropriate standards for security, reliability, and oversight.
    • Build a reference business case for each priority workflow, tracking implementation effort and impact to inform the next area of work.

What You Bring

  • One to three years of professional experience in a high-service environment or real estate company—for example, as Team Assistant, Founder's Associate, a role in operations, office management, service desk or technical project management
  • You do not need to be a software engineer, but you should have built solutions that run without your day-to-day involvement. You have already raised your own productivity by 20 to 30 percent with AI and can show us how.
  • Fluency in written and spoken English and a strong working command of German.
  • A hands-on systems mindset: you spot repetitive manual work and duplicated effort and are willing to do the work yourself first to understand how to improve it.
  • You take ownership, keep several workstreams moving without losing track of the details, and follow through on commitments to completion.
  • You handle confidential information with discretion.
  • You work independently and are comfortable shaping a role without a finished playbook.

You Are...

  • You're the person who always has the overview. Even when several projects run at the same time, you stay organized, set priorities, and keep things moving on your own.
  • You see collaboration as part of the job. You work easily with colleagues across the foundation to make each project a success.
  • You thrive on variety. In our Real Estate Team, you'll manage many tasks and projects at once, and you do it in a structured and independent way. You keep the big picture in view and work closely with colleagues across teams to get each project over the finish line.

What We Offer

  • A distinctive mandate at the intersection of operations, AI and the nonprofit sector.
  • A workplace already using various LLM and other AI-enabled operational tools, with a practical approach to AI: we are still building, and we focus on useful outcomes rather than headlines.
  • A lean team with short reporting lines and fast decisions: your work is visible to leadership from day one
  • The entrepreneurial pace and ownership of a high-ambition organization, backed by the stability of a well-funded endowment
