Assistant to Head of "Data-Intensive Internet Computing" Research Group (m/f/x) 

 

 

​The position is part time (20h) and temporary for the period of two years (with the option of subsequent permanent employment).

 

 

Your future tasks

 

You will be responsible for all organizational matters within the research group, in particular:

 

  • Support the research group head/professor in managing his calendar and coordinating appointments
  • Help organize meetings and events
  • Plan and follow-up on business trips for the research group head
  • Manage applications and travel expense reports via SAP Concur
  • Process invoices with the help of the document management system “DocuWare”
  • Support the onboarding process for new research assistants
  • Assist the research group head as co-speaker of one of the research schools at HPI
  • Assist the research group head in academic administration (including tasks related to appointment procedures)
  • Contact person for research assistants and scholarship holders in organizational matters to help ensure a smooth and professional office workflow
  • Point of contact for students at the research group (eg. master project, tutors)
  • Cooperate with different central administrative departments such as finance, third-party funding, and human resources
  • Support with various organizational tasks, such as organizing lecture series or annual retreats
  • Maintain and develop a network with assistants of other research groups and clusters

 

 

Your skills

 

  • Successfully completed commercial vocational training or similar qualification
  • Several years of experience in a similar position
  • Enjoy working as an assistant as well as proficiency in the MS Office suite (Teams, Outlook, Excel, Word, etc.)
  • Experience in planning business trips and preparing travel expense reports in accordance with current travel guidelines 
  • Preferably experienced working with digital application programs such as SAP Success Factors, SAP Concur, and digital invoice processing systems
  • Solution-oriented, hands-on approach with strong planning and organizational skills
  • Friendly, approachable, professional demeanor
  • Willingness to work with an international research group (of scientists)
  • Strong intercultural competence as well as excellent written and spoken German and English language skills (C1 level)
